POSITION TITLE: Events Associate 

IMMEDIATE SUPERVISOR: Manager, Gallery Rentals 

NARRATIVE DESCRIPTION: The Art Gallery of Calgary is looking for casual, part-time Events Associates to help execute the Gallery Event Rentals Program. Event Associates are responsible for working with professional staff and volunteers to run corporate and private events in The AGC. Duties involve setting up, executing and dismantling events, ensuring that event protocol is followed and providing superior service to our clients. Applicants should be personable, enthusiastic and should have a positive, can-do outlook. 

COMPENSATION: $15/hour. This is a casual, part-time position. 

EDUCATION:

Must be working towards or have a certificate in Event Management.

Must have a minimum of 2 years experience working in the hospitality industry or events industry.

A combination of training, education and experience that is equivalent to one of the employment qualifications listed above, providing the required knowledge and abilities.

The Art Gallery of Calgary is looking for candidates who will work with us on a long-term basis. 

DUTIES & RESPONSIBITIES:

Responsible for the smooth running of events for 12 to 550 attendees.

To ensure the event objectives are met and that art exhibitions are protected.

Responsible for following and executing the Event Production Schedule & Floor Plan for each event. (The Event Production Schedule and Floor Plan are provided prior to each event by the Manager, Gallery Event Rentals, and outline the set-up, tear-down and other special event requirements)

Working as part of our Events Team to supervise the event, its attendees, caterers, security, volunteers and any other suppliers involved in the event.

To have extensive knowledge of The AGC gallery spaces and ensure that event protocols are followed.

Act as the client’s principal liaison during the event.

Responsible for communicating with the Events Team about the status of the event and its progress.

Responsible for monitoring The AGC premises before, during and after events to ensure the gallery, the artwork and patrons are secure and all event policies are being adhered to.

POSITION TITLE: Security Services 

IMMEDIATE SUPERVISOR: Manager, Gallery Event Rentals 

NARRATIVE DESCRIPTION: The Art Gallery of Calgary is looking for casual, part-time Security personnel to help execute the Gallery event Rentals Program. This role requires a strong understanding of securing the building, attendees, and valuables, and a strategic approach to problem-solving and planning. This position calls for excellent communication skills and a proven ability to work well within a team environment. 

COMPENSATION: $15/hour. This is a casual, part-time position. 

POSITION PROFILE:

Reporting to the Manager, Gallery Event Rentals, Security Services will be responsible for the following:

Patrolling The AGC premises before, during, and after events.

Screening individuals and preventing passage of prohibited articles into restricted areas such as, weapons, alcoholic beverages not provided by The AGC or Gallery Rental client…etc.

Provide a visible presence in order to instill public confidence in security and safety.

Working with Associates on shift to cover the front doors if only one guard is on duty.

Monitoring activities of guests attending events by patrolling and looking at monitors.

Warning persons of rule infractions or violations, and evicting violators from premises.

Reports to the Senior Associate on site of irregular activities, such as equipment or property damage, theft, presence of unauthorized persons, or unusual occurrences.

Calling police or fire department in the case of emergency or unauthorized personnel on site after consulting the Senior Director, Events and Marketing or Manager, Gallery Event Rentals.

Assist Events and Gallery Event Rentals Staff with set-up and tear down for each event.

Providing loading dock accessibility to bands, caterers, AV suppliers and DJ’s for load in and load out of their equipment as required.

Serving as a training officer to new security staff and perform other related duties as assigned by the Manager, Gallery Event Rentals.

Understanding the importance that you are a public representative of The Art Gallery of Calgary. 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Ability to use independent judgment.

Ability to multitask and prioritize.

Excellent knowledge of hospitality and security industries, liabilities and protocol.

Ability to lead and supervise other security team members.

Ability to take direction from others on The AGC Team.

Display a high level of integrity and honesty.

Excellent communication skills.

Ability to deal with the public in a respectful, diplomatic and professional manner

VOLUNTEER

At The Art Gallery of Calgary (The AGC) volunteers are vital to the success of our events, programs and projects.  Volunteers commit as much or as little time as desired, choosing programs or events they would like to be a part of.  A variety of volunteer opportunities are available - from helping out at wedding receptions to creating art with kids as part of our education and public programming.

In addition to a free Curator’s Tour of each exhibition, orientations are provided to familiarize volunteers with The Gallery, artwork, policies, procedures and positions. Our goal is to ensure all volunteers have fun and feel a strong sense of partnership with The AGC community.

VOLUNTEER OPPORTUNITIES

Volunteers assist event staff with setting up, decorating and tearing down events, serving food and beverages, clearing tables, meeting and greeting guests, supervising artwork and other duties as required.  As representatives of The Gallery during events, volunteers should feel comfortable answering any inquiries about the artwork or The AGC itself. Events at The Gallery include weddings, corporate meetings, cocktail parties and our annual fundraisers:  ARTwear, Masterpiece Contemporary and AGCcooks. 

Public and Education Programs:

Volunteers greet and guide gallery visitors, prepare craft and activity stations, assist instructors with hands-on activities and monitor The Gallery during programs such as exhibition openings, school visits, gallery tours and more. 

Office Administration Support: 

Volunteer office support opportunities include preparing bulk mail-outs, filing documents, entering data and other administrative tasks that help keep The AGC running smoothly.
