Coordinator, Gallery Rentals
IMMEDIATE SUPERVISOR: Manager, Gallery Rentals
NARRATIVE DESCRIPTION:
Reporting directly to the Manager, Gallery Rentals, The Coordinator, Gallery Rentals is responsible for assisting and coordinating the gallery rental program that includes monthly and annual sales targets are met or exceeded. The Coordinator, Gallery Rentals isalso the key support staff to the Manager, Gallery Rentals for The Art Gallery of Calgary’s fundraising events as required.
EDUCATION:
Must be working towards or have a certificate in Event Management.

- This position will have a flex schedule and may require working some evenings and weekends.
DUTIES AND RESPONSIBILITIES:
- Responsible for tracking all client contracts: ensuring that the contracts and guidelines are sent, signed and received, initial invoice is sent, deposit is paid, statement is sent after receiving deposit, damage deposit is on file, final deposit reminder is sent, and that the final deposit is received, after final payment received ensure a final statement is sent to client and certificate of insurance is received.
- Put together and send client packages to prospective clients from The AGC including: quote, event details, gallery rental guidelines, gallery rental brochures and the gallery rental rate card.
- Responsible for providing support by assisting the Manager, Gallery Rentals with the gallery rental program and clients as needed.
- Responsible for keeping the Monthly Board Report up to date and filled in, filling in the event calendar as required, sending the Events of the Month to Manager, Visitor Services and AGC Shop, filling in the Monthly Sales Report.
- Responsible for filling in the Gallery Rental Stats Report monthly and to year end.
- Responsible for ensuring that gallery rental program support is provided including operational setup and takedown, floor plans, timelines and that excellent customer service is provided to all gallery rental clients.
- Assist Manager, Gallery Rentals in promoting the Gallery Rentals program through advertising, marketing and promotional opportunities.
- Responsible for assisting the Manager, Gallery Rentals of all operational aspects of the fundraising events when required.
- Interview, train, and supervise, the performance of all Event Associates and Security Services.
- Responsible for working gallery rental events when needed or when there are not enough Event Associates.
- Maintain and update Training Manual binder for Event Associates.
- Coordinate with cleaning company for updates to cleaning schedule and additional cleans in the gallery spaces.
- Book and act as point of contact for the Security Services.
- Book and act as point of contact for the Event Associates.
- Other duties as required.
A Criminal Record check will be required.
